Clubhouse Rental Policy:

The current Stone Meadows Board of Directors Policy on rental of the Stone Meadows Clubhouse states the following:

• All Clubhouse events must be rented to (and payment must come from) residents/homeowner in GOOD STANDING.
• Only one rental permitted per day
• The Clubhouse is available for rental throughout the year except for the following holidays: Thanksgiving, Christmas Eve, Christmas Day, New Year's Eve, New Year's Day, Easter, Memorial Day, Independence Day, & Labor Day.
• A rental fee is charged on ALL events unless it is a neighborhood event.
• There is no two-tiered pricing for business functions.
• Each rental pays one additional hour for set-up and clean-up.
• The homeowner must sign a Clubhouse rental agreement and the rental rate of $30.00 per hour plus one additional hour for set-up and clean-up must be paid prior to the event date in order to book the requested date.
• The homeowner must complete, sign and date a “Clubhouse Clean UP Checklist”.  Blank forms are located in the wall pocket on the utility room door.  The completed form is to be placed in the wall pocket located in the utility room on the back of the door.
• All cancellations must be made at least 14 calendar days prior to the event. Failure to provide adequate notification will result in a $50 cancellation fee. No refunds will be provided for day of cancelations or failure to show.

Parking:  

• When the pools are closed for the off-season, the Lap pool and lower lot by the Clubhouse are closed.
• By the Clubhouse there are 30 parking spaces by the dumpster.  
• If a Clubhouse Rental anticipates more than 30 vehicles, contact the HOA 7 days in advance via this website and the lower lot will be opened. 

Door Locks:  

• The electronic locking system does not support unlocking the entrance doors during any extended period.  Renters may use the door stop to prop  open the door .

• 6 ft. rectangular tables
• 4 - 2 x 4 Card Tables
• Chairs for 100
• 12-cup Mr. Coffee maker
• Keurig single-serve coffee maker
• 50-cup coffee pot
• Vacuum Cleaner
• Refrigerator
• Wet cleaning supplies
• Trash bags (13 gal. & 30 gal.)
• Kitchen & bathroom paper towels
• Toilet paper
• Mop
• Broom
• Stove
• Additional tables and chairs are the responsibility of the homeowner.

Fees:

Rental Fee:                   $30.00/ hour with 1 Hour set-up/clean-up charge added to all rentals
Marquee Rental Fee:    $30.00 for the day of the rental

Credit Card Processing Fee: 2.99%

Clubhouse Dimensions & Layout

Example:

If you booked the clubhouse from 12pm - 3pm.  You would actually have it from 11am - 4pm.  You will get 1 hour before and 1 hour after for setup/cleanup.

Your costs would be $30 x 3 hours = $90 + $30 setup/cleanup = $120 + 2.99% = $123.59

To reserve the clubhouse, click here. From here you can view calendar availability, review rental documentation, and complete the reservation form. Upon completion of the reservation request, you will receive a confirmation email within 24 hours from TreeStone. Rental fees will be assessed to your account.
